The Role \- Client Service Manager

This is a part\-time, remote, U.S.\-based, 1099 contractor position starting at 10\-15 hours per week, with the opportunity to grow as our client base expands.

You are the engine of our client fulfillment operation. When a Founder signs with Malloy Industries, you become their trusted guide through our entire matchmaking process, from diagnostic assessment to executive matching to ongoing relationship management. You don’t just “manage accounts.” You run the show.

You’ll own a book of 3\-5 clients to start, growing to 10\-15 as the business scales. You’ll facilitate approximately 4 interviews per week between clients and fractional executives, and you’ll be the reason our clients stay, expand, and refer.

What You’ll Actually Do (Week to Week)

  • Run the matchmaking process end\-to\-end: Use our AI\-powered tools (Notebook LM) to compare client project briefs against our roster of 600\+ fractional executives, identify the top 10 candidate matches, and review them with leadership.
  • Coordinate all stakeholder communications: Send outreach emails to potential fractional executive matches, request interest confirmations, collect 5\-minute candidate intro videos, share videos with clients, and schedule interviews, all within tight 4\-7 day windows.
  • Facilitate client\-executive interviews on Zoom: Lead structured 30\-minute interviews between clients and fractional executive candidates using our proven agenda framework. You’re running the meeting, not sitting in the corner.
  • Debrief with clients and executives after interviews: Gather feedback, assess fit, and guide the decision\-making process to identify the strongest match.
  • Lead the 6\-week Strategic Clarity and Matchmaking Program™: Conduct two 1\-hour meetings per week with clients to assess their needs using our Scalable Operational Maturity Assessment™ (SOMA) and other diagnostic tools.
  • Manage ongoing client relationships: Conduct monthly 30\-minute check\-ins with each client and monthly check\-ins with their matched fractional executives. Identify what’s working, what’s not, and uncover opportunities to expand the engagement (additional fractional hires, Unbundled Recruiter services, or referrals).
  • Review weekly executive reports: Collect and review GPS (weekly status) reports from fractional executives each week and email summaries to clients every Monday or Tuesday.
  • Submit daily Close of Business (COB) reports: Proactively communicate your activities, progress, blockers, and areas where you need help. Every day. No exceptions.
  • Manage up relentlessly: Keep the CEO informed on pipeline status, client health, and any risks before they become problems. We shouldn’t have to pull information from you, you push it to us.

This Role Is For You If…

  • You are obsessively organized. You track every client, every email, every deadline, and nothing falls through the cracks. Your project management skills aren’t just “good”; they’re your superpower.
  • You write clear, professional, thoughtful emails without anyone reviewing them first. Your written communication makes clients feel informed and cared for.
  • You are politely persistent. When someone doesn’t respond in 1–2 days, you follow up. When they still don’t respond, you follow up again, warmly but firmly. You never let a deal stall because you were afraid to send a nudge.
  • You are technologically competent. Gmail, Google Sheets, Google Docs, Google Calendar, Zoom, Slack, and Notion are tools you use fluently. You’re also willing to learn AI tools like Notebook LM to run our matchmaking algorithms.
  • You are comfortable leading meetings with C\-level executives. You can facilitate a conversation between a Founder and a fractional CFO without breaking a sweat. You have a professional, confident presence on camera.
  • You thrive in ambiguity. You don’t need step\-by\-step instructions for everything. You can confidently move forward with 60% of the information and figure out the rest.
  • You are independently productive. You manage your own calendar, your own deadlines, and your own workload. When you see something that needs to be done, you do it.
  • You have existing income streams. This is one of 2–4 money\-generating activities in your professional life, and that setup works for you. You aren’t looking for a full\-time job because you’re building a portfolio career. You already have health insurance, too.

This Role Is NOT For You If…

We believe in radical honesty. Here’s who will not succeed in this role:

  • You need hand\-holding or micromanagement to get your work done. We don’t have time to chase you, and we won’t.
  • You schedule meetings and then don’t show up. This is a fireable offense. Period. Our clients are busy executives who carved time out of their day for you. Not showing up (and not communicating in advance) is unacceptable.
  • You’re a great talker but a poor executor. We’ve had that person. We loved talking to them. We couldn’t trust them to send an email. If your strength is charm but not follow\-through, this isn’t your role.
  • You struggle with technology. If sending a Google Calendar invite, hosting a Zoom meeting, or navigating a spreadsheet feels difficult, you’ll be underwater here.
  • You don’t communicate proactively. In a fully remote team, silence is a red flag. If we don’t hear from you, we assume something is wrong. We need people who over\-communicate, not people we have to chase down on Slack.
  • You need very clear step\-by\-step instructions for every task. We live in a fast\-moving, ambiguous environment where you’ll often need to make judgment calls with incomplete information.
  • You only show up to meetings but want somebody else to run them. This role requires you to lead, facilitate, and own the agenda, not sit quietly and take notes.
  • You have no other income and are depending on this role to cover all of your living expenses. This is a part\-time position with significant growth opportunity as the business grows, and we cannot provide a full living wage for 10\-15 hours/week. We want this to be a healthy, sustainable addition to your professional life, not a financial lifeline.
  • You’re actively applying for full\-time positions. If you’re going to leave us in three months when a full\-time offer comes in, this isn’t the right fit. We’re looking for people who are committed to fractional, part\-time, portfolio\-style work as a long\-term career choice.

What We’re Looking For

We care far more about what you can *do* than what’s on your resume. That said, the people who thrive in this role tend to share these traits:

  • 5\+ years of client\-facing experience in B2B services, consulting, account management, or project management
  • Proven track record of managing multiple clients or projects simultaneously without dropping balls
  • Excellent written communication. You draft emails that are clear, warm, professional, and don’t need editing
  • Strong verbal communication and executive presence on Zoom calls with C\-level leaders
  • Proficiency with Google Workspace (Gmail, Sheets, Docs, Calendar), Zoom, Slack, and Notion
  • Willingness to learn and use AI tools (Claude, Notebook LM) for matchmaking workflows
  • Experience managing up, so you keep leadership informed without being asked
  • U.S.\-based, with a reliable internet connection and your own computer
  • Available for meetings across U.S. time zones with some flexibility

Work Environment

  • Fully remote to work from anywhere in the U.S.
  • Part\-time, starting at 10\-15 hours per week with opportunity to grow

Pay: From $35\.00 per hour
