Estimated Hours: 10–20 hours per week, with potential to grow

About Live to Thrive

Live to Thrive is a coaching and personal development company helping ambitious, high\-achieving women create more success, freedom, fulfillment, and alignment in both life and business.

We are entering our next phase of growth and are looking for a high\-level Fractional Director of Operations / AI\-Driven Integrator who has already helped scale a company from $1M to $5M\+ and knows how to build the operational foundation required for sustainable growth.

This is a strategic leadership role for someone who can see the full business, identify what needs to be fixed or built, create structure, manage priorities, implement AI, and help the CEO move the company forward without everything living in her head.

This is not a basic admin, task manager, or project coordinator role.

We need someone who can lead operations at a high level, create order from chaos, build scalable systems, and implement AI across the business to increase speed, efficiency, visibility, and execution.

About the Role

The Fractional Director of Operations / AI\-Driven Integrator will oversee the operational heartbeat of the company.

You will help translate the CEO’s vision into clear priorities, projects, workflows, team accountability, and measurable execution. You will work closely with the CEO and leadership team to improve systems, streamline communication, strengthen team performance, and ensure key initiatives move forward with clarity and urgency.

A major part of this role will include identifying and implementing AI\-supported workflows across operations, team communication, project management, reporting, SOPs, marketing support, and leadership visibility.

We are looking for someone who brings both strategic thinking and hands\-on execution. You should be able to step into a fast\-moving company, quickly assess what is working, identify operational gaps, and build the systems needed for the next level of growth.

Key ResponsibilitiesStrategic Operations \& Company Execution

Oversee the company’s operational priorities and ensure key initiatives are moving forward.

Translate CEO vision into clear execution plans, timelines, owners, and next steps.

Identify operational gaps, bottlenecks, inefficiencies, and areas where the CEO is still too involved.

Build scalable systems that support growth from $1M to $5M\+.

Create clarity around company priorities, team responsibilities, deadlines, and deliverables.

Support quarterly planning, goal tracking, project prioritization, and operational decision\-making.

AI Implementation \& Workflow Optimization

Identify where AI can save time, reduce costs, increase output, and improve decision\-making.

Build and implement AI\-supported workflows for operations, project management, reporting, SOP creation, sales support, marketing support, and internal communication.

Create AI prompts, templates, automations, and internal systems aligned with Live to Thrive’s voice, standards, offers, and goals.

Train and support team members in using AI effectively within their roles.

Audit current tools and workflows to determine where AI can streamline or replace manual processes.

Stay current on AI tools and recommend practical, strategic improvements as the company grows.

Team Leadership \& Accountability

Support team accountability across departments and projects.

Run or support weekly operational meetings, leadership check\-ins, and project status updates.

Ensure team members know what they own, what is due, and what matters most.

Hold team members accountable in a clear, professional, and grounded way.

Identify communication breakdowns, capacity issues, or performance gaps and recommend solutions.

Reduce CEO involvement in day\-to\-day follow\-up by creating visibility, ownership, and accountability.

Project \& Launch Management

Oversee major internal and external initiatives, including launches, summits, sales campaigns, programs, events, internal projects, and growth initiatives.

Create project plans that include owners, due dates, milestones, dependencies, and risks.

Ensure projects are completed on time and aligned with company standards.

Proactively flag blockers and solve problems before they slow down execution.

Keep leadership updated on progress, priorities, and decisions needed.

Systems, SOPs \& Internal Infrastructure

Audit and improve current systems across ClickUp, Slack, Google Drive, GoHighLevel, and other tools.

Create, organize, and improve SOPs so the company is less dependent on individual team members.

Build repeatable processes for launches, sales campaigns, internal communication, team accountability, reporting, and company operations.

Ensure the backend of the business is clean, organized, and scalable.

Reporting \& Business Visibility

Create simple reporting systems that give leadership clear visibility into company performance.

Track operational KPIs, project progress, team accountability, revenue\-related priorities, bottlenecks, and execution gaps.

Use data and AI tools to summarize trends, identify gaps, and recommend next steps.

Help the CEO and leadership team make clear, informed decisions without digging through scattered information.

Create dashboards, scorecards, or weekly reporting rhythms that make company priorities and progress easy to see.

You understand that growth does not just come from more ideas. It comes from structure, execution, ownership, clean systems, strong leadership, and team accountability.

You are confident working with a visionary CEO and can turn big ideas into clear plans without needing constant direction.

You are proactive, direct, organized, emotionally intelligent, and comfortable holding a high standard.

You know how to move fast, but you also know how to build systems that last.

You are highly skilled in AI and know how to use it as a strategic business tool, not just a content shortcut.

Ability to make decisions, solve problems, and create structure without waiting for constant instruction.

Experience scaling a coaching, consulting, personal brand, online education, or high\-ticket service\-based company.

Experience supporting launches, summits, live events, sales campaigns, or high\-ticket coaching programs.

Experience creating dashboards, scorecards, SOP libraries, or business operating systems.

Experience using AI for operations, automations, team workflows, data summaries, content repurposing, reporting, and decision support.
