Join our dynamic team as a part-time Client Experience & Administrative Assistant to anchor the midday-to-afternoon studio hours. You'll ensure the studio remains staffed, organized and welcoming for our clients. You’ll be the friendly face and efficient support system that ensures clients feel valued and internal processes are seamlessly managed. Duties

Client & Design Studio Support

  • Greet clients, visitors, and team members with professionalism and warmth at the front desk, creating a welcoming environment.
  • Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately to ensure smooth communication flow.
  • Maintain a clean, polished and organized design studio
  • Keep brochures, materials and signage stocked and updated
  • Order fresh flowers weekly
  • Update and program t
  • Help manage walk-in clients (15-minute limit, then schedule a follow-up)he outdoor digital sign
  • Cover the design studio reliably during afternoon hours

Administrative & Scheduling Support

  • Manage the calendars of the Vice President & President
  • Enter new leads into HubSpot accurately
  • Load client/project information into JobTread
  • Prepare client folders and meeting materials
  • Schedule meetings for leadership
  • Track and organize the owner’s daily calendar
  • Help coordinate site visits for team members
  • Maintain filing systems (paper + digital)
  • Order office supplies and manage inventory

Studio & Marketing Support (Basic Tech Tasks)

  • Make simple updates in Canva (signs, announcements, reminders)
  • Post basic social media updates using templates + guidance
  • Keep studio messaging consistent and up-to-date

Team & Operations Support

  • Assist with employee meetings (agendas, attendance, signs, food orders)
  • Communicate proactively with sales, design, and operations
  • Anticipate needs and address issues before they escalate

Skills & Qualifications

  • Comfortable talking with clients and speaking off the cuff
  • Professional, confident phone presence
  • Strong organizational skills and attention to detail
  • Tech-comfortable: Google Workspace, HubSpot, JobTread (training provided)
  • Comfortable with basic Canva tasks
  • Reliable and able to work independently
  • Prior administrative or client-facing experience preferred

Hours & Compensation

  • 24 hours/week (Mon/Tue/Thu/Fri — 10:30 to 4:30)
  • Fully onsite — not a remote or hybrid role
  • Paid training
  • Competitive hourly rate based on experience

  • Executive administrative support: 3 years (Required)
  • Microsoft Office: 3 years (Required)
  • CRM software: 3 years (Required)
  • HubSpot: 1 year (Preferred)
  • Customer relationship management: 3 years (Required)
  • Canva: 1 year (Preferred)
  • Google Workspace: 1 year (Preferred)
